The library offers free Technology classes on a wide variety of software programs and Microsoft Word is one of our most popular series.  If you are ready to take your Word skills to the next level, we have some time-saving shortcuts for you.

 

Selecting Text

Selecting large amounts of data in Word can be tricky, especially if what you are selecting spans several lines or pages.  Luckily, there are some great shortcuts to select specific parts of your document. 

Here are a few of our favorite shortcuts for selecting text:

  • To select a word, double-click on the word
  • To select a line, place your mouse pointer in the left margin pointing towards the line.  Click once to select the line.
  • To select a sentence, hold down the Ctrl key and click anywhere in the sentence.
  • To select a paragraph, place your mouse pointer in the left margin and point towards the paragraph.  Double click to select the paragraph.
  • To select the entire document, place your mouse pointer in the left margin pointing towards the text.  Click three times quickly.  Another option is to hold down the Ctrl key and press the letter A  

Formatting Shortcuts

If you have already selected the data, the following keyboard shortcuts will apply the formatting to the selected text.  These shortcuts work in all Microsoft Office programs.

 Bold - Hold down the Ctrl key and press the letter B

Underline – Hold down the Ctrl key and press the letter U

 Italic – Hold down the Ctrl key and press the letter I

If you want format as you type, simply press the key combination before you start typing to turn the formatting “On”.  Press the same key combination after you are done typing the formatted text to turn the formatting “Off”. 

Copy, Cut and Paste Shortcuts

The following keyboard shortcuts will allow you to quickly copy and move text.  These shortcuts work in all Microsoft Office programs. 

To COPY the selected text, hold down the Ctrl key and press the letter C

To CUT the selected text, hold down the Ctrl key and press the letter X

To PASTE the selected text, move to the new location, hold down the Ctrl key and press the letter V

Print and Save Shortcuts

To print the select the entire document, hold down the Ctrl key and press the letter P

 

To save your document, hold down the Ctrl key and press the letter S
